How Staff Link Solutions collects, uses, shares and protects your personal information, including cookies on this website. Last updated: 26 October 2026.

1. Who we are

"Staff Link Solutions", "we", "us" and "our" means PT Staff Link Solutions, with its head office in Seminyak, Bali, Indonesia, and the Staff Link Solutions offices and team that serve clients in Indonesia, Malaysia and Australia. We provide recruitment, labour hire, offshore staffing, HR 360, domestic and care staffing, and business support services.

We handle personal information in line with Indonesia's Personal Data Protection Law (Law No. 27 of 2022) and, for people and businesses in Australia, the Australian Privacy Principles in the Privacy Act 1988 (Cth), as well as other privacy laws that apply to us.

2. Information we collect

Depending on how you deal with us, we may collect:

  • Contact and enquiry details: name, email, phone or WhatsApp number, company, role and the details of your enquiry or booking.
  • Client information: business details, staffing needs, contracts, invoices, payment records and our communications with you.
  • Job seeker and staff information: CVs, work history, qualifications, references, identity and work-rights documents, photos, interview notes, skills assessments and, where needed for the role and with your consent, background or police checks.
  • Information about family members: for nanny and care bookings, details a parent or guardian gives us about the people being cared for, such as names, ages, routines and any care or health needs.
  • Portal and account information: login details and records of sign-ins and activity in our client and job seeker portals, kept for security.
  • Website information: pages visited, device and browser type, approximate location (country or city), how you found us and similar data collected through cookies (see section 6).

We collect most information directly from you: through our website forms, email, phone, WhatsApp and other messaging services, and in person. We may also collect it from referees, job boards, the business that employs or engages you, or publicly available sources.

3. How we use information

  • To answer enquiries, give quotes and provide our services.
  • To recruit, assess and place candidates, and to manage staff we employ or place.
  • To run our client and job seeker portals and keep them secure.
  • To invoice, process payments and meet tax, employment and other legal obligations.
  • To improve our website and services, including understanding which pages are useful.
  • To send you information about our services. You can opt out at any time.
  • To protect our rights, resolve disputes and keep records as evidence where needed.

Some messages may first be answered by an automated assistant. Our team reviews those conversations, and you can always ask to speak with a person.

4. Sharing information

We only share personal information when it is needed for the purposes above, for example with:

  • clients considering or engaging a candidate (with the candidate's knowledge);
  • trusted partners who help deliver a service you ask for, such as visa and licensing partners;
  • service providers who run our systems, such as website hosting, email and office software, messaging, payment and analytics providers;
  • professional advisers, insurers, and government authorities where the law requires it.

We do not sell personal information.

5. Overseas transfers

We work across Indonesia, Malaysia and Australia, so personal information may be accessed by our team in those countries. Our service providers may also store or process information in other countries, including the United States, Singapore and countries in the European Union. When we send information overseas, we take reasonable steps to make sure it is protected to a standard comparable to the law that applies to you.

6. Cookies and website analytics

Cookies are small files saved by your browser. We use:

  • Essential cookies that keep the website and portals working and secure, such as session, security and sign-in cookies, and a cookie that remembers your cookie choice. These are always on.
  • Analytics cookies from Google Analytics and Google Tag Manager. They tell us how many people visit, which pages they use, roughly where they are (country or city) and how they found us. Google provides this to us as statistics; it does not tell us your name.
  • A staff marker on our own team's browsers, so staff visits aren't counted as visitors.

We may also use tools that recognise the business a visit comes from (for example, a company network), so we can follow up with businesses interested in our services. These tools do not identify you personally. We only know who you are if you tell us, for example by filling in a form, booking a call or signing in.

Your choice: when you first visit, our cookie notice lets you choose "Only essential" to switch off analytics cookies. You can change your choice at any time with the "Cookie settings" link below, or block cookies in your browser settings.

7. Keeping information secure

We use reasonable technical and organisational measures to protect personal information from misuse, loss and unauthorised access, including access controls, staff confidentiality obligations and secure systems. No system is completely secure, so please contact us straight away if you think your information has been put at risk.

8. How long we keep information

We keep personal information only for as long as we need it for the purposes above. Some records, such as contracts, payment and tax records, employment records, portal sign-in and security records, and records needed for legal claims, are kept for longer where the law requires or allows it. When we no longer need information, we securely delete or de-identify it.

9. Your rights

Depending on the law that applies to you, you can ask us to:

  • tell you what personal information we hold about you and give you a copy;
  • correct information that is wrong, out of date or incomplete;
  • delete your information, or stop or limit how we use it;
  • withdraw a consent you have given us;
  • stop sending you marketing.

We may need to confirm your identity first. There may be legal reasons we cannot do everything you ask, such as records we must keep by law, and we will explain if so.

10. Questions and complaints

For any privacy question, request or complaint, email bdm@stafflink.pro with "Privacy" in the subject, or use our Contact Us page. We aim to respond within 30 days.

If you are not happy with our response, you can complain to the privacy regulator: in Australia, the Office of the Australian Information Commissioner (oaic.gov.au); in Indonesia, the government authority responsible for personal data protection.

11. Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
